Who we are

This website is operated by Quabit (“we”, “us”), a community initiative based in Kolkata, West Bengal, India. Quabit is not yet a registered legal entity; the person responsible for data protection is named below.

Information we collect

We only collect personal information that you choose to give us through this website:

  • Contact form: name, email, optional phone number, enquiry type and your message.
  • Volunteer applications: name, email, phone, city, interests, skills, availability, preferred way of volunteering and your motivation.
  • Event registrations: name, email, optional phone, number of attendees and any accessibility requirements you tell us about.
  • Partnership enquiries: organisation details, your name, role and contact details, and your message.
  • Newsletter: your email address and your consent.
  • Donations (when open): amount, designation and optional name and contact details. Card, UPI and bank details are handled by the payment provider and are never seen or stored by us.

Our web hosting provider may automatically record technical information such as IP addresses and browser type in server logs for security purposes. This website does not use analytics or advertising trackers.

How we use your information

  • To reply to your messages and enquiries.
  • To assess volunteer applications, carry out safeguarding checks for relevant roles and organise volunteering.
  • To manage event registrations and contact you about the event.
  • To send newsletters — only if you have given consent. Every email includes a way to unsubscribe.
  • To process donations, issue receipts and meet legal and accounting obligations (once donations open).
  • To keep children and vulnerable adults safe, and to protect our website from misuse.

We process your personal information on the basis of the consent you give when you submit a form, or where processing is needed to comply with the law. You can withdraw consent at any time by contacting us; this does not affect processing that has already taken place. We aim to comply with applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 as its provisions come into force.

Sharing your information

We do not sell, rent or trade personal information. We share it only:

  • with service providers who help us run our work — for example our website host, email or form service and, when donations open, a payment provider — and only for that purpose: [List each provider, e.g. hosting company, email service, payment gateway];
  • where the law requires it, or to protect someone's safety (for example, reporting a child-protection concern to the authorities).

Children

This website is not intended for children under 18, and we do not knowingly collect their personal information online. Information about children who take part in our programmes is collected offline, only with the consent of a parent or guardian, and is kept confidential.

How long we keep information

We keep personal information only for as long as we need it for the purpose it was collected, or as required by law. [Add retention periods, e.g. enquiries: 2 years; volunteer records: duration of volunteering + 3 years; donation and accounting records: as required by tax law]

Security

We use reasonable technical and organisational measures to protect personal information, including encrypted (HTTPS) connections, access limited to people who need it, and service providers with appropriate security practices. No system is completely secure, so please avoid sending sensitive information (such as health details or ID numbers) through our forms.

Your rights

You can ask us to:

  • tell you what personal information we hold about you;
  • correct or update it;
  • delete it, where we are not required to keep it;
  • stop sending you newsletters or other communications.

We will respond within a reasonable time. You may also have the right to complain to the relevant authority under Indian law.

Cookies and local storage

See our Cookie Policy. In short: we do not use tracking cookies. If you choose to load the Google Map on our contact page, Google may set its own cookies.
